Privacy policy

How RelayBib protects your personal data, registration proof documents, and payment details.

1. Strictly private registration proof documents

When a Seller lists a bib, they are required to upload proof of race registration (e.g. RunSignup confirmation email, registration receipt PDF).

🔒 Private Bucket Security: Proof documents are stored in private, non-public AWS S3 buckets. They are NEVER indexed by search engines and NEVER exposed publicly to buyers or third parties.

Only authorized RelayBib compliance administrators may access proof files via temporary 15-minute presigned URLs for verification purposes.

2. Payment & bank account encryption

RelayBib does not store credit card numbers, debit card details, or bank account numbers on our servers. All financial transactions and seller bank payouts are processed directly by Stripe Inc. through PCI-DSS Level 1 certified infrastructure.

When you buy an entry with protected payment, we show the seller your full name and email address so they can enter them in the organizer's official transfer process (Art. 6(1)(b) GDPR, to carry out the transfer you requested). The screenshot a seller uploads to show they started the transfer is stored privately and is only viewed by RelayBib staff when a problem is reported.

3. Information we collect

  • Account Credentials: Name, email address, password (stored strictly as salted bcrypt hashes).
  • Marketplace Activity: Order timestamps, bib listings, transfer confirmation logs, and dispute claims.
  • Communications: Messages exchanged between buyers and sellers on RelayBib. Authorized RelayBib staff may review these messages to resolve disputes, investigate reported problems, and prevent fraud or payments outside the platform.

4. Data retention & post-race purge

Following completion of a race and expiration of the dispute window, participant registration proof screenshots are automatically scheduled for permanent deletion from our storage buckets within 30 days.

5. Cookies & analytics

On your first visit we ask which optional cookies you accept. Google Analytics and Google Ads only set cookies after you opt in, and you can change your choice at any time under Cookie settings in the footer.

  • Necessary (always on): session keeps you signed in (7 days), NEXT_LOCALE remembers your language (12 months) and rb_consent stores your cookie choice (12 months).
  • Product analytics (always on): PostHog (EU cloud) records which pages are visited, clicks and where visitors leave, and records sessions to help us find and fix problems. It sets a cookie and local storage entry (ph_…_posthog, 12 months) to recognise returning visitors. Passwords are masked; other form fields may be visible in recordings. IP addresses are not stored.
  • Analytics (with your consent): Google Analytics records which pages are visited and where visitors leave.
  • Marketing (with your consent): Google Ads measures whether a click on one of our ads led to a bib alert or a purchase. Nothing loads from Google until you accept analytics or marketing.
  • Hotel map (with your consent or when you open it): Race pages can show a hotel map from Stay22 (Stay22 Inc., Canada). It loads only after you accept marketing cookies or click "Show hotels on a map". Stay22 and the booking sites it links to can then set cookies and see your IP address, and RelayBib earns a commission on bookings made through the map.

The legal basis for Google Analytics, Google Ads and the Stay22 hotel map is your consent (Art. 6(1)(a) GDPR, § 25(1) TDDDG); for PostHog it is our legitimate interest in running and improving the site (Art. 6(1)(f) GDPR). Withdrawing it stops further collection and removes the related cookies from your browser.
